Clear about the information WIT handles.

This notice explains how WIT Solutions uses personal information when you make an enquiry, request support, become a customer or allow access to a device or account for an agreed support task.

1. Who is responsible for your information

WIT Solutions is the trading name used by Toby David Wheeldon, a sole trader based in Stainforth, Doncaster, England. For data-protection questions, email [email protected].

Where WIT provides support directly to an individual, WIT will normally act as controller for enquiry, customer-service, job and business records. When WIT supports a business customer and handles personal information only on that customer's instructions, the roles may differ and will be agreed where necessary.

2. Information WIT may collect

Depending on the job, this may include your name, email address, telephone number if you provide one, postcode or service area, correspondence, quote and invoice information, device details, account or service identifiers, technical information needed to diagnose a fault, records of work carried out and payment-status information.

Support work can sometimes expose personal files, messages, photographs or other information stored on a device. WIT does not treat access to unrelated personal content as part of the job and will avoid accessing it unless reasonably necessary for the agreed task.

Please do not send passwords, recovery codes or payment-card details by ordinary email. If a credential is genuinely needed for support, WIT will agree a safer way to handle it and will not retain it longer than necessary.

3. Why information is used and the lawful basis

WIT uses personal information to answer enquiries, take steps you request before entering into a contract, provide agreed services, manage appointments, prepare quotes and invoices, keep service records, deal with complaints, protect systems and accounts, and meet legal or tax-record obligations.

The lawful basis will usually be taking steps at your request before a contract, performance of a contract, compliance with a legal obligation, or WIT's legitimate interests in running and protecting the business, keeping proportionate service records, preventing misuse and resolving disputes. Consent will be used where the law specifically requires it or where an optional activity genuinely depends on your choice.

4. Devices, remote access and customer data

Remote access is used only with permission and for the agreed support task. You should remain available during a remote session unless another arrangement has been agreed. WIT may stop work if continuing would create an unreasonable security, privacy or data-loss risk.

Customers should maintain a current backup before repair, upgrade, migration or troubleshooting work wherever reasonably possible. Temporary copies of files will only be made where needed for the agreed work and should be removed when no longer required.

5. Who information may be shared with

Information may be processed by service providers used to run WIT, such as email, cloud-storage, hosting, accounting or security providers. Information may also be shared with a hardware or software supplier, specialist repairer or other third party where this is needed for an agreed service and it is appropriate to do so.

Information may be disclosed where required by law or where reasonably necessary to establish, exercise or defend legal claims. WIT does not sell personal information to advertisers.

Some service providers may process information outside the UK. Where restricted international transfers apply, WIT will use an applicable adequacy arrangement or other lawful safeguard as required.

6. How long information is kept

WIT keeps information only for as long as it is reasonably needed for the purpose for which it was collected, including customer service, tax and accounting, warranty or dispute handling, security and legal obligations.

As an operating guide, unsuccessful or dormant enquiries are normally reviewed for deletion after 24 months; ordinary job and contract records may be retained for up to 6 years where needed for accounting, contractual or legal-record purposes; and temporary customer files created solely to complete a support task should be deleted promptly once the work and any agreed handover period are complete. A longer or shorter period may apply where the circumstances or law require it.

7. Your data-protection rights

Depending on the circumstances, you may have rights to ask for access to your personal information, correction, erasure, restriction, portability, or to object to certain uses. Where processing is based on consent, you may withdraw that consent without affecting earlier lawful processing.

If you remain concerned about how your information has been handled, you can complain to the Information Commissioner's Office (ICO). Information about making a complaint is available on the ICO website.

8. Website data and cookies

This website does not intentionally use advertising trackers, analytics cookies or a hosted enquiry form. The email helper runs in your browser and opens your own email application; the website itself does not submit or store the message.

The hosting and security provider may process standard technical information such as IP address, browser details, request logs and security events in order to deliver and protect the website.

9. Changes to this notice

This notice will be reviewed when WIT changes the way it handles customer information, adds online booking, payment, analytics, a customer portal, hosted forms or other services that materially affect privacy.

Last updated: 1 October 2026. This notice is intended as a practical privacy notice for WIT Solutions and should be reviewed if the business model or data-handling arrangements change.
